Automatic PDF Embedding for TechnologyOne Invoices

We’ve enhanced the Link4–TechnologyOne integration to make sure a PDF copy of an invoice can always be delivered to TechnologyOne, even when the supplier sends their Peppol eInvoice without a PDF attachment.

What’s New?

Previously, if a supplier sent an eInvoice without a PDF attachment, Link4 automatically generated a PDF for viewing in the Link4 Dashboard. However, this generated PDF was not included in the invoice sent to TechnologyOne.

With this enhancement:

  • If the supplier includes a PDF: The original supplier PDF will continue to be sent to TechnologyOne as usual.

  • If the supplier does not include a PDF: Link4 will automatically generate a PDF, embed it into the invoice XML, and send it to TechnologyOne through the existing API integration.

This means TechnologyOne can now receive a PDF attachment with every eInvoice, regardless of whether the PDF was provided by the supplier or generated by Link4.

How It Works

Supplier provides a PDF
Supplier eInvoice + PDF → Link4 → TechnologyOne receives the original PDF

Supplier does not provide a PDF
Supplier eInvoice → Link4 generates PDF → PDF is embedded into invoice XML → TechnologyOne receives the generated PDF

Please refer to the image below for a graphical representation of the before and after process.

Key Benefits

  • Ensures a PDF representation is available in TechnologyOne for eInvoices.

  • No change to the process when suppliers already provide a PDF.

  • Uses the existing TechnologyOne API integration, with no additional integration changes required.

  • Can be enabled or disabled based on your organisation’s requirements.
